Your Golf Travel Sales Inbox Assistant
Every sales email arrives sorted and answered in draft, checked against the company's terms, ready for a salesperson to approve.
An assistant inside Gmail that reads each sales inquiry, finds the booking, and drafts a reply for a salesperson to approve. Built at the MACH AI Exchange, where MACH Alliance members work on a brand's live business problem.
Sorts each sales email by what the customer wants, finds the booking, drafts a reply, and blocks anything that breaks the company's terms.

Why this exists
Your Golf Travel's experts answer detailed questions about hotels, tee times, flights, and transfers from their own inboxes, with no shared queue. Every reply starts from a blank page.

Faster replies alone would add risk. A reply that calls a change free, admits liability, or promises protection a booking doesn't have costs real money. In group travel the organizer, the payer, and the person writing are often different people, and only one of them can authorize a change.
What this demonstrates
- On a 15-email test inbox, every request was classified correctly, in about 12 seconds per email and around $0.21 in total.
- Every draft is checked against Your Golf Travel's published terms before a person sees it: 11 required disclosures, 11 red lines, and 7 approval gates.
- The assistant can't quote a price it can't source, so no invented figure reaches a customer.

- Bookings are matched by their real reference, and only the lead contact can authorize a change.
- Nothing is sent automatically. Replies go only to the sender, and newsletters, auto-replies, and internal mail are skipped.
What you would add to ship it
- Live pricing from the reservations system, so holding replies become quotes.
- Finance sign-off on how each booking type maps to ATOL, ABTOT or agency protection.
- A managed install for the whole sales team.
Architecture
The assistant works on a schedule, before anyone opens a message, so drafts are waiting when a salesperson arrives. When they open an email, the draft sits beside it in Gmail.

Rules run first, in code: machine mail and colleagues are skipped, and forwarded emails are unpacked so the customer's own question gets answered. A language model then classifies the request and, once the booking has been retrieved from the data warehouse, drafts the reply.
Anything with a right answer is decided in code: what may be said, which money may be quoted, and who may authorize a change. With no live pricing connected yet, the assistant writes an honest holding reply instead of a figure.

Contributor submission
The detail on this page comes from the contributor's own account of their own work. The MACH Alliance reviews a submission before publishing it and does not independently verify the figures in it.
What this page does not establish
- The 15 of 15 intent result is on a 15-email test inbox, not on live sales volume.
- No change in time to first quote or in conversion has been measured.
Where this came from
Written from the build repository and the Your Golf Travel session deck from MACH X Amsterdam, September 29–30, 2026. The repository is private. Figures are from the build team's own test runs.
